Job Description

Applications are being accepted by the College Place School District for a Assistant School Secretary assigned to Davis Elementary School. This assignment is being posted for internal and external consideration at this time. POSITION & BENEFITS:

Job Title: Assistant School Secretary


Reports to: Assigned Principal or Designee


Bargaining Group: ESE FLSA Status: Non-Exempt

Position: 7.5 hours per day, 195 days per school year (10 months)

Salary: $19.17 - $25.07 (educational incentive available in accordance with applicable collective bargaining agreement as negotiated)

Anticipated Start Date: 8/18/2025

Benefits: Medical/Dental/Vision, FSA/DCAP, Life/AD&D through SEBB (School Employee Benefits Board); and Retirement through DRS (Department of Retirement Systems) for eligible employees

Additional Benefits: Optional 403(b) retirement plan; Optional DCP (deferred compensation program) retirement plan

Leave: 9 sick days (pro-rated for mid-year hires), 10 paid holidays


REQUIRED QUALIFICATIONS:

  • High school diploma or its equivalent (GED);
  • Bilingual/biliterate in Spanish. District tests to verify skill levels.
  • Knowledge of technology;
  • Knowledge of school procedures;
  • Skill to multi-task;
  • Public Relations skills.
  • Work efficiently, effectively and timely;
  • Produce work that is accurate, neat and thorough;
  • Be reliable, trustworthy and require minimal supervision;
  • Interact and communicate with others in a respectful, courteous and cooperative manner;
  • Maintain adaptability by being positive, versatile and flexible;
  • Support school rules and District policies and procedures.
ROLES AND RESPONSIBILITIES:
  • Maintain accurate, complete, and current records for every enrolled student.
  • Ensure data includes student information, attendance, grades, schedules, and all district and state-required documentation.
  • Possess and apply a working knowledge of school secretary responsibilities to ensure continuity in daily operations.
  • Step into essential tasks and roles when coverage is needed.
  • Serve as the first point of contact for families, community members, and guests-representing College Place Public Schools with professionalism and warmth.
  • Greet each person in a way that reflects The CP Way: building connection, demonstrating ownership, and supporting growth.
  • Respond to inquiries, schedule appointments, and help meet the needs of students, staff, and administrators with care and efficiency.
  • Coordinate internal appointments and access to student services such as counseling, special education, behavior intervention, and academic support.
  • Ensure timely, discreet, and student-centered scheduling.
  • Rely on strong collaboration and communication with staff, service providers, and families to support seamless and effective delivery of services.
  • Coordinate Building IEP meetings.
  • Follow internal accounting procedures when processing any revenue collected in the school office.
  • Maintain accuracy, transparency, and integrity in all financial processes.
  • Support a safe and orderly school environment by following safety protocols and modeling calm, proactive behavior.
  • Monitor the office environment to ensure safety for all who enter.
  • Protect sensitive information by maintaining strict confidentiality in compliance with district policy and legal requirements.
  • Stay informed of current practices by attending relevant trainings and learning opportunities.
  • Maintain proficiency with technical tools and communication systems.
  • Contribute positively to the overall school culture by working collaboratively with all staff.
  • Step in and support where needed, modeling flexibility and commitment to shared goals.
  • Carry out additional responsibilities as assigned to ensure a high-functioning school office and positive school environment.
Translation Services
  • Provide or coordinate translation and interpretation services to support communication between school staff and families.
  • Ensure clarity and accuracy in conversations, documents, and meetings involving non-English-speaking families.
  • Maintain cultural sensitivity and confidentiality in all translated interactions.
WORKING CONDITIONS: The usual and customary methods of performing the job's functions require the following physical demands:
  • Occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling.
  • Generally, the job requires:
    • ~ 5% lifting ~ 40 lbs.
    • ~ 55% of the work day standing, reaching, bending, stooping, walking
    • ~ 40% of the time working from a sitting position
  • This job is performed under temperature variations consistent with indoor and outdoor temperatures.
  • This job may require interaction with students displaying aggression, non-compliance, and other conduct problems.
